Cancellation Policy
A booking is not guaranteed until a valid credit card is provided to secure the reservation. Alternative payment arrangements may be made by prior agreement with ASURE Oak Estate Motor Lodge (referred to as Oak Estate).
Standard Bookings
Standard bookings may be cancelled up to 48 hours prior to the scheduled arrival date without penalty.
Statutory Holidays & Event Weekends
Bookings that include NZ Statutory Holidays (as defined on the NZ Statutory Holidays website) or Event Weekends (dates designated by Oak Estate as requiring a minimum two-night stay) must be cancelled at least 7 days prior to the scheduled arrival date to avoid penalty.
Group Bookings
Bookings of five (5) or more rooms are considered group bookings and require a minimum of 30 days’ notice for any cancellations or changes.
A non-refundable deposit of 10% is required for group bookings and must be paid no later than 30 days prior to arrival.
Late Cancellations
Late cancellations will incur a charge equivalent to the full cost of the reservation.
While partial refunds are at the discretion of management, Oak Estate will make reasonable efforts to re-let the cancelled room(s). If successful, a partial refund may be issued, less a 10% administration fee to cover processing costs.
No-Shows
A no-show is defined as a guest who does not arrive by 8:00 pm on the scheduled arrival date without prior notification. In the event of a no-show, the full cost of the reservation will be charged.
Property Damage
Guests are responsible for any damage to the property and may be charged for additional cleaning or repairs beyond normal wear and tear, as outlined in the Guest Responsibilities section.
Reception Hours
Reception is open Monday to Sunday, 8:00 am – 8:00 pm.
If you will be arriving outside reception hours, please advise us in advance so we can provide details of our late check-in procedure. For non-contact check-ins, payment will be processed from the credit card supplied at the time of booking, or as otherwise agreed.
Check-In / Check-Out
Check-in: From 2:00 pm on the day of arrival
Check-out: By 10:00 am on the day of departure
Early check-in and/or late check-out are by prior arrangement only, subject to availability, and may incur additional charges depending on the time requested.
Tariffs
All rates are quoted per night and include GST (15%).
All rates quoted are non-commissionable.
Age Restriction
The minimum age for check-in is 18 years.
Payment Methods
ASURE Oak Estate Motor Lodge accepts the following payment methods:
Cash, EFTPOS, Visa, Mastercard, Farmlands, Rural Co, and Farm Source.
Full payment of the stay is required at check-in.
Refunds
There are no refunds or rate reductions for early departures or no-shows.
Pets
Pets are welcome. Please advise us at the time of booking if you are bringing a pet, and we will email you our Pet Policy.
Smoking
ASURE Oak Estate Motor Lodge is a smoke-free complex. Smoking is permitted outside only, away from open windows, doors, and other guests, particularly children.
If smoking occurs inside a room, a specialist cleaning company will be engaged. We reserve the right to charge the registered guest for cleaning costs and any resulting loss of income.
Damages
Guests are responsible for any damage caused to rooms or property during their stay. The cost of repairs or replacement may be charged to the credit card on file.
Quiet Hours
We ask all guests to respect quiet hours between 10:00 pm and 7:00 am.
EV Charging
ASURE Oak Estate Motor Lodge is equipped with an EV charger featuring a 5-metre lead with a Type 2 plug.
